In short

Many companies running Sage 100 ERP start with a single AI tool: OCR for invoices, a chatbot, a voice bot. Each tool needs its own connection, its own rules and its own upkeep. In the end you have several silos that know nothing about each other.

We see AI for mid-sized companies as a platform. One live interface to Sage 100, Standard Agents on top for the high-volume processes, and Worki as the AI assistant for everything in between. Sales, purchasing and accounting work with the same data, the same approvals and one audit log.

The problem with isolated AI point solutions

In mid-sized companies, the typical path to AI looks like this: accounting introduces invoice recognition. Sales tests a chatbot for customer inquiries. Management tries a copilot for reports. Each project makes sense on its own.

Together they create new work:

  • Several connections to Sage 100. Each tool brings its own way into the ERP, often through exports. Each of these connections has to be checked after a Sage update.
  • Data in different states. The chatbot knows the price list from the last export, the copilot knows the live data. Your customer gets different answers.
  • Rules in several places. Who may approve what? Which deviation is allowed? You maintain this again in every tool.
  • No overall picture. A customer calls, writes an email and sends an order. Three tools see three transactions, nobody sees the customer.

With Sage 100 ERP this weighs especially heavily. Sage 100 has no open API that delivers all the data AI needs. The official REST API covers four modules. Every additional connection is therefore a project of its own.

How we see an AI platform

For us, an AI platform starts with the process. In the sales back office of manufacturers and wholesalers, the same tasks come up every day: entering orders, quoting prices and stock levels, following up on quotes, checking order confirmations, matching invoices. In between there are a hundred small tasks that do not fit any fixed workflow.

This leads to two kinds of AI that belong together:

  • Standard Agents for the high-volume processes. They are trained on one process, run in the background and deliver the same result every day.
  • An AI assistant for everything else. Your team describes the task in the chat, the assistant does it in the ERP and turns recurring tasks into routines.

Both need the same foundation: live data from Sage 100 and a safe way to create documents.

The five layers of an AI platform for Sage 100

  1. Live interface. The Workist Sage 100 Connector is an interface built specifically for Workist. It reads customers, items, customer-specific prices with discounts, stock per warehouse, quotes and orders live. It writes through document entry (Belegerfassung), so pricing, number ranges and checks apply.
  2. Channels. Email, PDF, fax, phone and chat come together in one inbox. Workist assigns each message to the right customer and transaction.
  3. Standard Agents. The Order Agent creates orders from purchase orders and checks every line item against the customer-specific price. The Inbox Agent answers price, stock and delivery inquiries. The Voice Agent takes calls. In purchasing, the Order Confirmation Agent matches order confirmations with purchase orders. The Invoice Agent passes incoming invoices to the ERP and accounting.
  4. Worki. The AI assistant in the chat shows documents with all line items, follows up on quotes and creates quotes, orders and new customers. What your team explains once runs as a routine from then on.
  5. Control. You decide what runs automatically and where your team approves. Every action is shown in the dashboard. The data is stored in the EU, and Workist is SOC 2 Type II certified.

Why the order matters

The layers build on each other. Without a live interface, the Voice Agent quotes wrong prices and Worki works with old data. That is why we started with the interface to Sage 100 ERP.

A day in the sales back office with an AI platform

Here is what this looks like in practice, using the example of a wholesaler running Sage 100 ERP:

  • 7:00 am: Worki sends the head of sales the open quotes that should be followed up today. Your team described this routine once in the chat.
  • 8:30 am: Forty orders came in overnight by email and fax. The Order Agent has created 36 of them. Four have a price deviation and are waiting for review.
  • 10:15 am: A customer calls and asks about price and stock for three items. The Voice Agent recognizes the customer by phone number and quotes their price. The customer orders during the call, and the order is in Sage 100.
  • 1:00 pm: A supplier sends an order confirmation with a postponed delivery date. Workist updates the purchase order and notifies purchasing.
  • 3:30 pm: The head of sales asks Worki: "Which quotes over €10,000 are older than 14 days?" Worki lists them and, on request, drafts the follow-up emails.

All of these tasks run through the same interface, the same rules and the same dashboard. The numbers are an example, not a customer report.

Does every task need AI?

No. If a supplier sends every order confirmation in the same structured format, a rule is enough. If an e-invoice arrives as an XRechnung, nobody needs to recognize text. AI pays off where documents and inquiries arrive unstructured: orders in any layout, free text in emails, phone calls. A platform combines both. Fixed rules and AI agents run on the same foundation, and you decide per process how each item is handled.

Your Sage 100 stays the leading system

An AI platform does not replace your ERP. Customer records, pricing, warehouse and accounting stay in Sage 100. Workist reads this data live and creates documents through document entry, with the same checks as manual entry. Your customizations, document types and number ranges stay as they are. No ERP migration is needed.

Data protection and permissions

The more processes an AI takes over, the more central control matters. In Workist you define once which agents may create documents automatically and where your team approves. Every record Worki creates needs a confirmation, and admins can switch off write access at any time. The Voice Agent only quotes prices to callers it has recognized as customers. All actions are shown in the dashboard. The data is stored in the EU, and Workist is SOC 2 Type II certified and GDPR compliant.

How to get started

Holistic does not mean introducing everything at once. We recommend starting with the process that has the most volume, usually order entry or price and stock inquiries. Because the interface to Sage 100 is then already in place, every further agent can be added without a new integration project.

  1. Count your volume. How many orders, inquiries, calls, order confirmations and invoices come in per day?
  2. Install the connector. You need Sage 100 version 9.0.8 or later and a license for the 3rd Party Gateway.
  3. Start with one agent. Installation usually takes about two hours, and the first agent is live within a few days.
  4. Activate Worki. Your team assigns tasks in the chat and builds its own routines.
  5. Add more agents. Phone, purchasing and incoming invoices are added on the same foundation.

Frequently asked questions

What is the difference between an AI platform and an AI tool?

The shared foundation. A tool solves one process with its own connection. A platform connects live to Sage 100 ERP once and runs several agents on top with the same data and rules.

Do I have to introduce all agents at once?

No. Most customers start with one process and add more agents once the first one is running.

Does Worki replace the Standard Agents?

No. The Standard Agents reliably handle the high-volume processes in the background. Worki takes care of the tasks in between and uses the agents as tools.

What happens when Sage 100 is updated?

Workist maintains one interface instead of many. There is a matching extension package for every supported Sage 100 version.

Which areas does the platform cover?

Sales, purchasing and accounting. This includes orders, inquiries, calls, quotes, order confirmations and incoming invoices.

Conclusion

AI in Sage 100 ERP is ready for everyday use today. The architecture makes the difference. Individual tools solve individual tasks and create new interfaces. A platform with one live interface, Standard Agents and an AI assistant grows with every process, without you having to integrate again. Start with the process that costs the most time, and build from there.
