In short

Classic OCR reads text. Intelligent document processing (IDP) understands the document and matches it against your data. For Sage 100, though, a third point decides: how the result gets into the ERP. Sage 100 has no open interface through which a tool can check customer-specific prices and create documents cleanly.

Our recommendation: Workist for all documents in sales and purchasing, from the order and the matching of order confirmations against purchase orders to the incoming invoice in the ERP and accounting. Softfolio e-Invoice, DocuWare or Candis fit if you only want to automate invoice intake in bookkeeping.

OCR, IDP and AI agent: what is the difference?

  • OCR recognises characters on a scan. It does not know what a number means. Every layout needs a template.
  • IDP (intelligent document processing) uses AI to understand fields: customer, order number, line items, delivery date. Templates are no longer needed.
  • AI agents go one step further. They check the data against the ERP, clarify open questions and create the document.

For Sage 100 this means: recognition is solved in 2026. The difference between the tools lies in matching and handover.

The bottleneck is the handover to Sage 100 ERP

The official Sage 100 REST API covers four modules: customers, suppliers, items and document entry (Belegerfassung). Access from the cloud requires the 3rd Party Gateway with its own licence. The API does not return customer-specific prices with discounts or stock per warehouse in the form a document check needs.

That is why many tools export CSV files that an import reads into Sage 100 ERP, or write directly to the database. Both have drawbacks: exports run with a delay, and direct SQL writes bypass pricing, number ranges and checks. Ask every vendor how the data ends up in Sage 100.

The best IDP tools for Sage 100 ERP

1. Workist

Sales and purchasing

Workist is more than OCR. The Order Agent reads the order, identifies the customer, matches every line item by item number and customer-specific price and creates the sales order in Sage 100 ERP. If a price differs, it flags the line item and asks your team. In purchasing, the Order Confirmation Agent reads your suppliers' order confirmations, compares them with the purchase order and updates prices, quantities and dates in Sage 100. Only discrepancies go to your team. The Invoice Agent extracts incoming invoices without templates, matches them against the purchase order and goods receipt and passes them to Sage 100 ERP and accounting. Documents, PDFs and emails stay archived with the transaction.

  • Documents: Sales: orders, inquiries, bills of quantities. Purchasing: order confirmations from suppliers and incoming invoices
  • Recognition: AI reads any layout without templates, including line items and free text
  • Matching: Live against Sage 100: customer, item and customer-specific price in sales; purchase order and goods receipt in purchasing
  • Handover: Via the Workist Sage 100 Connector, version 9.0.8 or later: sales orders and quotes in sales, updated purchase orders in purchasing, incoming invoices in the ERP and accounting
  • Limit: In master data, Workist currently only creates new customers

2. Softfolio e-Invoice

Incoming invoices

The solution from Bauknecht Softfolio.pps GmbH is integrated into Sage 100 and listed in the Sage solutions catalogue. It includes an approval workflow with roles and deputies.

  • Recognition: OCR for header data, supplier, amount, date and line items
  • Matching: Check for mandatory information and GoBD
  • Handover: Approved invoices go to Sage 100 accounting
  • Limit: Invoice intake only

3. DocuWare with Sage 100 interface

Goods receipt and invoice intake

DocuWare is a widely used DMS. System AG offers an interface that transfers approved documents from DocuWare into Sage 100 ERP at line item level. The solution fits if you already use DocuWare as your archive.

  • Documents: Incoming documents, delivery notes, invoices
  • Recognition: Indexing in DocuWare
  • Matching: Line item matching against purchase orders
  • Handover: As goods receipt, invoice intake or both, with stock posting
  • Limit: Requires AppDesigner Professional, and a Rewe licence for scheduling

4. Candis

Invoice approval

Candis is a cloud solution for invoice approval with an official interface to Sage 100. It fits if several cost centres approve invoices.

  • Documents: Incoming invoices
  • Recognition: AI-based invoice recognition
  • Matching: Approval workflows
  • Handover: Official Sage 100 interface
  • Limit: Invoice intake only

5. Avantgarde Co-Pilot

AI assistant with document functions

The Avantgarde Co-Pilot is mainly an assistant for questions about your data. According to user reports, it also covers individual document cases, such as a photo of a delivery note at goods receipt.

  • Documents: Delivery note photo at goods receipt, pre-entry of e-invoices, pre-filling quotes from inquiries
  • Recognition: Language models from OpenAI or Azure
  • Matching: In the Sage client
  • Handover: In the Sage client, on request
  • Limit: An assistant, not end-to-end document processing

What e-invoicing changes

Since 2025, companies in Germany must be able to receive e-invoices in B2B transactions. Structured formats such as XRechnung and ZUGFeRD no longer need text recognition, because the data is machine-readable. For invoice intake, the task therefore shifts from recognition to checking and approval.

Orders, on the other hand, remain PDFs in every possible layout. Here, AI-based IDP remains essential.

Selection checklist

  1. Clarify the document type. Is it about orders in sales, order confirmations in purchasing or invoices in bookkeeping?
  2. Check the handover. Does the tool write through Sage 100 document entry, via import or directly to the database?
  3. Test the matching. Does the tool check customer-specific prices and items live against Sage 100?
  4. Test with your own documents. Ask to see recognition on your most difficult documents.
  5. Calculate the total cost. On top of the tool, you may need AppDesigner, a Rewe licence or the 3rd Party Gateway.
