In short
An AI phone assistant only helps the sales back office if it accesses Sage 100 during the call: identify the customer, quote the customer-specific price, check stock, take the order. Most voice bots on the market cannot do this because Sage 100 has no open interface for this data.
Static exports as a knowledge base do not help, because prices are customer-specific and stock levels change constantly. The Workist Voice Agent solves this with a purpose-built live integration with Sage 100 ERP. It works autonomously as your main number, answers around the clock, gives identified customers their price and the stock level, and creates phone orders as sales orders.
What a phone assistant for sales needs to do
In sales at manufacturers and wholesalers, most calls revolve around the same questions. What does this item cost for me? Is it in stock? When will my delivery arrive? And often: then I will order right away.
Every one of these answers is in Sage 100 ERP. A phone assistant that only gives general information or takes callback notes hardly takes any load off your team. It has to handle five things:
- Identify the caller, by phone number or by the customer number given during the call.
- Quote the customer-specific price, meaning the price with discounts that Sage 100 calculates for exactly this customer, not the list price.
- Check stock, ideally per warehouse.
- Take orders and create them as sales orders in Sage 100 ERP.
- Transfer calls and take callback requests, when a request needs a colleague: the call is put through to the right person or handed over as a callback request with a summary.
Why most voice bots fail with Sage 100
Phone AI is easier to build in 2026 than ever before. Language models understand dialects, technical terms and item numbers. The problem is data access.
Sage 100 has no open API like the ones cloud ERPs come with. The official REST API covers four modules: customers, suppliers, items and document entry (Belegerfassung). It does not deliver customer-specific prices with discounts or stock levels per warehouse in the form a conversation needs. For access from the cloud, you also need the 3rd Party Gateway with its own license. That is why most voice bot vendors offer no live connection to Sage 100. They work with a knowledge base built from exports or forward every specific question to your team.
Why exports are not enough
An obvious workaround: export price lists, item master data and stock levels as CSV on a regular basis and give them to the voice bot as a knowledge base. On the phone, this goes wrong.
- Prices are customer-specific. Sage 100 calculates the price from price lists, discounts and terms per customer. A list cannot reflect that, so the bot quotes the wrong price.
- Stock levels change constantly. An export from this morning is outdated by the afternoon. If the bot says "in stock" and the goods are gone, you have broken a promise.
- No orders get created. Without write access, the phone order stays a note that your team has to type in.
A phone assistant for Sage 100 ERP therefore needs a live integration: during the call, it looks up exactly the price and stock level that apply at that moment and creates the order directly.
Three approaches compared
| Voice bot without ERP | Voice bot with a knowledge base from exports | Voice Agent with live integration | |
|---|---|---|---|
| Customer-specific price | No, callback only | List price, often wrong | Yes, live |
| Stock | No | As of the last export | Yes, live |
| Create order | Note for the team | Note for the team | As a sales order via document entry |
| Reliability of information | No information | Low, data goes stale | High, data as in the ERP |
| Security | Not critical | Price lists sit outside the ERP | Defined endpoints, rules per agent |
| Example | General voice bots | Voice bots with document upload | Workist Voice Agent |
How a call works with the Workist Voice Agent
- The call is answered. The Voice Agent picks up, also after hours and on weekends, and identifies the customer by phone number.
- Price and stock information. The customer-specific price with discounts and the current stock level come live from Sage 100 ERP. The agent quotes prices only to callers it has identified as customers.
- Ordering during the call. Item, quantity and delivery address are confirmed during the conversation.
- Sales order in Sage 100. Workist creates the order through document entry. The summary, recording and transcript are stored with the case in Workist.
- Handover when needed. If the agent cannot help further, it connects the caller to a colleague.
The Workist Sage 100 Connector makes this possible. It is installed in Sage 100 ERP via AppDesigner import and adds the endpoints that are missing for prices, stock and documents. Workist writes through document entry so that number ranges, pricing and checks apply. You can find the details in the integration description.
Setup in five steps
- Check your version. Sage 100 version 9.0.8 or later and a license for the 3rd Party Gateway.
- Install the Connector. Your Sage partner or our team installs the Workist extension. At the end, the application server restarts, so plan a short maintenance window.
- Connect your phone system. The Voice Agent gets its own phone number or is connected to your phone system via SIP trunk.
- Define rules. Which questions does the agent answer, when does it transfer the call, and which orders does it create directly?
- Test and go live. Your team calls in, checks answers and orders, and then switches it on.
Data protection and control
A phone assistant talks to strangers. That is why fixed limits apply. The Voice Agent gives prices only to callers it has identified as customers. It accesses data only through the Connector's defined endpoints, not with a full user login. Every action is visible in the Workist dashboard. The data is stored in the EU, Workist is SOC 2 Type II certified and works in compliance with the GDPR.
Frequently asked questions
Can an AI phone assistant really quote prices from Sage 100?
Yes, if it accesses Sage 100 live. The Workist Voice Agent reads the customer-specific price with discounts during the call.
What happens if an unknown caller asks about prices?
They do not get a price. Sage 100 calculates prices per customer, and the Voice Agent quotes them only to identified customers. The request goes to your team.
Do I need a new phone system?
No. The Voice Agent gets its own phone number or is connected to your existing system via SIP trunk.
Is it enough to give the voice bot a price list?
No. Sage 100 calculates prices per customer with discounts and terms, and stock levels change constantly. An exported list gives wrong prices and outdated stock levels on the phone. You need live data from Sage 100 ERP.
How long does implementation take?
Usually a few days. Installing the Connector typically takes about two hours. Most of the time after that goes into setting up the rules and the phone system.
